Real Estate Reception/Administration

This position’s primary responsibility is to support our team leader, clients and agents and ensure that our front desk operations are functioning smoothly and efficiently. We are looking for a reliable team member who follows through with commitments independently, can be counted on to meet deadlines, and is very productive and efficient in planning and executing tasks accurately. Excellent interpersonal, verbal, and written communication skills are vital requirements. An interest in / experience in social media marketing would be an asset.

With opportunities to advance, we require someone with previous experience in the reception/admin environment. We are willing to provide training specific to the position to the candidate who meets our qualifications.

• Scheduling, data entry, client data management, task management
• Booking appointments and tracking confirmations using Showing Time
• Input all administrative tasks, due dates, and deadlines into CRM software
• Update and maintain CRM Software daily
• Manage E-mail accounts daily
• Maintain and organize our digitized files in Drop Box
• Preparing listing documents and offers using Web Forms / Transaction Desk
• Data Entry of listings to MLS – Broker loading listings to TREB
• Photo/Video Editing
• Write listing descriptions
• Maintain the Realtor databases with accurate and updated client contact information, Tags for categorization
• Assist in the development of monthly and quarterly reports utilizing spreadsheets
• Take the initiative and work directly clients, realtors, and suppliers
• Work independently or as part of a group
• Maintain inventory of office supplies , marketing items ; order as necessary
• Responsible for overall appearance, organization of the office
• Collaborate with other team members on special projects and events
• Assist in promoting the company brand through various print & digital channels
• Assist in implementing marketing materials through multiple methods, such as advertising content, direct mail flyers, social media, brochures, and custom projects working within the company’s brand and templates

• Adaptable, able to keep up with moving tasks, priorities, projects, clients, and technology
• Be a self-starter who demonstrates motivation and resourcefulness
• Proficient with Mac / Apple Products is an asset
• Excellent computer skills - experience with CRMs, G Suite, MS Office, E-Sign, Drop Box (Quickbooks is an asset)
• Comfortable learning new software and technologies
• Some Knowledge of the digital marketing landscape is an asset
• Intermediate skills using creative marketing tools; Canva, InDesign an asset
• Have a current and valid driver’s license, reliable vehicle and be willing to commute daily to the office in Beaverton
• Previous experience in a Real Estate Office would be an asset
