Job Overview: We are seeking an in office Administrative Assistant to provide comprehensive support to our team and ensure the efficient operation of our office. The ideal candidate will be highly organized, possess excellent communication skills, and have a proactive approach to problem-solving. This role will involve a variety of administrative tasks, including but not limited to answering phone calls, managing paperwork, coordinating meetings, handling correspondence, and assisting with special projects as needed.

Key Responsibilities:

  1. Answer and direct phone calls and inquiries to appropriate parties.
  2. Manage and maintain schedules, appointments, and travel arrangements for team members where required.
  3. Coordinate and schedule meetings and other events including training.
  4. Prepare and distribute correspondence, memos, letters, emails, and reports.
  5. Maintain and update filing systems, both electronic and physical.
  6. Assist with Accounts Payable processing in the appropriate software.
  7. Assist in the coordination of office activities and operations to ensure efficiency and compliance with company policies.
  8. Order and maintain office supplies and equipment.
  9. Handle sensitive and confidential information with discretion.
  10. Assist with special projects and initiatives as assigned by the General Manager.

Qualifications:

  1. Proven experience as an administrative assistant or relevant role.
  2. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management software.
  3. Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  4. Excellent communication skills, both written and verbal.
  5. Attention to detail and accuracy in all work.
  6. Ability to work independently with minimal supervision and as part of a team.
  7. Discretion and confidentiality when handling sensitive information.
  8. Flexibility and adaptability to changing priorities and requirements.
  9. High school diploma; additional qualifications in Office Administration or related field are a plus.

Hours:  8:30-4:30 in office
