Job Purpose
The Administrative Assistant supports daily office operations. Work covers reception, scheduling, document handling, supplies, and basic record keeping.
The role ensures the office is organized and responsive. It requires accuracy, discretion, and steady follow-through.
Duties and Responsibilities
Overall Responsibilities:
● Greet visitors and answer calls in a professional manner
● Manage calendars, book meetings, and coordinate rooms
● Draft, format, and proofread emails, letters, and simple reports
● Create and update digital and paper files with proper naming
● Handle mail and couriers; track incoming and outgoing items
● Maintain office supplies; place orders and receive deliveries
● Prepare meeting materials and set up basic A/V if needed
● Enter data into spreadsheets or office systems
● Collect receipts and support simple expense or invoice tasks
● Keep reception and common areas tidy
● Follow privacy rules for handling sensitive information
● Perform other related duties as assigned
Key Qualifications
● High school diploma or equivalent; post-secondary certificate is an asset
● 1+ year(s) of office administration or reception experience is preferred
● Previous experience with MS Office products such as Outlook, Excel, PowerPoint

Working Conditions
● Full-time, onsite office role
● Standard hours: Monday to Thursday from 8:00am to 5:00pm; Friday 8:00am to 12:00pm; this is a 38 hour/week
● May require occasional overtime for deadlines or events
● Extended periods of sitting and computer use
● Light lifting of office supplies up to 30 lbs
● Exposure to noise, dust, and moving equipment on the shop floor
● Complete all required training such as WHMIS, Workers Health & Safety 4 steps; Workplace Violence & Harassment training and The Code + AODA
● Starting Wage: $20.00/hr
