Location: Remote (Ontario preferred)
Position: Part-Time (10–20 hours/week to start)
Hours: Flexible with occasional daytime availability

About the Role

This isn’t a typical admin position.

We’re looking for someone who enjoys organizing information, improving systems, following up with people, and making sure nothing falls through the cracks.

You’ll work directly with the owner to help keep projects, clients and day-to-day operations running smoothly.

This role is ideal for someone who is proactive, highly organized, detail-oriented and comfortable working independently.

Primary Responsibilities

Administrative Support

* Manage email inboxes and prioritize correspondence
* Schedule meetings and coordinate calendars
* Organize digital files and project folders
* Prepare professional documents, proposals and presentations
* Maintain contact databases and company records

Project Coordination

* Create and maintain project folders
* Track project milestones and deadlines
* Follow up with clients, consultants and subcontractors
* Coordinate permit, insurance and WSIB documentation
* Keep project information organized and current

Estimating & Tender Support

* Prepare bid invitations
* Send requests for pricing to subcontractors
* Track quotations and follow up with trades
* Assist in assembling proposal packages
* Maintain subcontractor and supplier databases

Client Relations

* Follow up with existing and prospective clients
* Schedule site meetings
* Assist with proposal follow-ups
* Help maintain a professional client experience from first contact through project completion

Operations

* Build and improve internal systems
* Create checklists and SOPs
* Assist with invoicing and document organization
* Keep CRM and project management software updated
* Identify opportunities to improve efficiency

Marketing Support (Bonus)

* Coordinate social media scheduling
* Organize project photos
* Assist with LinkedIn outreach
* Help maintain website and marketing materials

* Construction or trades administration
* Microsoft Office
* Google Workspace
* QuickBooks
* Project management software
* CRM systems
* Proposal or tender preparation

What Success Looks Like

After six months, you’ve become someone the owner can rely on without needing constant direction. Projects are organized, clients receive timely communication, follow-ups happen consistently, and internal systems continue improving. You’ve become a trusted part of the business rather than simply completing administrative tasks.
