Position Summary
Under the supervision of the Director, Corporate Asset Management & Fleet , the Systems & Technology Support Specialist (Fleet Operations) is responsible for performing analytics, report design, preparation and the development of process improvement initiatives which leverage technology to support the Fleet Services, Asset Management & Driver Training Departments. Areas of focus would include but not be limited to cost management, fuel performance, vehicle replacement, asset performance benchmarking, action plan tracking, vehicle utilization, dashboard design and driver performance reporting & analytics.

In addition, this role would act as the primary technical resource for the Asset Works Help Desk supporting user-related requests, software training and ad hoc report-writing using SQL and Crystal Reports.

This position will support the implementation of Business Intelligence & Telematics tools within the department with a focus on implementing performance metrics to support business units in making data supported decisions that will drive ongoing operational efficiencies and reduce operating costs.

Key Responsibilities

Develop and design required analytical reports to improve decision making. Identify trends and gaps in data and identify improvement areas.

Implement and coordinate Asset Works software upgrades and identify benefits & changes with each upgrade.

Act as key technical resource for Asset Works Enterprise Fleet Management system providing ongoing training and assist with implementation of new modules in conjunction with Fleet Operations.
Provide oversight, coordination, implementation and management of the City’s Telematics program, and Business Intelligence tools for fleet.

Act as the single point of contact for Telematics/automatic vehicle locator (AVL) across the corporation.

Influence and build collaborative relationships with various City Departments/Services to help drive performance efficiencies through providing innovative analytics and insight through telematics and business intelligence tools as well as other sources of data as it relates to Corporate Fleet & Driver Training (Safety).

Develop business area specific Key Performance Indicators (KPI’s), automate reports and/or alerts based on the specific needs of individual stakeholders.

Analyze and monitor AVL data/system accuracy, provide monthly and on demand reports as required by various internal stakeholders.

Analyze and monitor AVL hardware and software performance and proactively address any issues alongside the Program Technician.

Monitor and benchmark equipment costs for maintenance, parts (inventory management), and labour using applicable software.

Liaise with vendors and other organizations such as the Asset Works Ontario User Group to develop best practices.

Develop analytics to support the Director in delivering on the Corporation’s Green Fleet initiative including the management of the FLO Charger RFID card roll-out and applicable energy consumption charging activity reports.

Provide cost/ benefits analysis as well as assist with the diagnosis of complex problems.

Required skills:

Qualifications, Competencies
Diploma in inventory management, logistics, business administration and/or financial management with a strong mechanical aptitude or related progam

5 years of recent and relevant experience in an automotive / heavy duty vehicle environment in the areas of inventory management, fleet management reporting & systems development, customer service & repair delivery
Experience using advanced Excel functions to analyze large volume and complex financial data and prepare reports

Experience with Asset Works Fleet Maintenance software is an asset

Skills, Abilities, Work Demands
Knowledge of motor vehicle standards and legislation (Canadian Motor Vehicle Safety standards, Society of Automotive Engineer standards, Canadian Safety standards, Ontario highway Traffic Act regulations)

Knowledge of reliability software and information systems (database management tools, maintenance management information systems and project management)

Strong analytical, process improvement and problem-solving skills are essential

Advanced computer skills with MS Word, Excel, Outlook and demonstrated working experiencing with other software products related to fleet maintenance/operations

Advance skills using report writing platforms & analytics tools such as Crystal Reports, SQL and Microsoft Power BI

Demonstrated knowledge of implementing process improvements, analyzing, and accessing data and preparing data summaries, recommendations, and reports

Proven judgement and decision-making skills with the ability to determine an effective course of action that drives progression

Strong strategic and technical analytical skills balanced with a pragmatic, results-oriented approach

Ability to coordinate projects and participate effectively as a team player

Excellent communication skills both verbal and written

Sound knowledge of concepts and best practices associated with fleet maintenance management

Possess a valid Ontario “G” class driver’s license in good standing with access to personal vehicle

Must obtain and maintain a satisfactory criminal record check, at candidates own expense
